Protect the grievance case file without hiding ownership
Message and attachment exports accumulate duplicate message exports and superseded attachments, hidden comments, message identifiers and attachment-version metadata and plaintext temporary files. Clean a staged copy before encryption. Preserve the source separately, resolve which version is authoritative and document every exclusion so cleanup does not destroy the grievance case file record.
An employee representative preserves the source, creates a minimized review copy and records each authorized handoff before granting access to the case file.
Run the control sequence
- 01
Copy the approved source set into a controlled staging area.
- 02
Inventory duplicates, hidden files, comments and temporary exports.
- 03
Minimize employee representative and recipient information to the real decision need.
- 04
Name one authoritative version for each artifact and quarantine conflicts.
- 05
Review the clean manifest before importing or encrypting anything.
Preserve the decision record
Record source, staged path, original count, retained count, duplicate decisions, metadata action, personal-data decision, conflicts, decision owner and clean-manifest hash.
Stop when
- The only source copy is being cleaned in place.
- Several files are called final with no case file ID.
- Unnecessary personal data remains without an approved purpose.
The record should show the approved case file, tested environment, responsible people and known limitations without storing passwords or unnecessary personal data, unredacted identifiers or superseded drafts.
Separate the surrounding controls
It does not establish the identity or authority of an employee, representative or adviser, provide employment-law advice, or determine procedural validity, workplace-policy format, employment-law deadlines, evidential weight, formal notice, required disclosure or redaction, or case outcome; it does not replace workplace case-management and provider permissions, guaranteed backup, password recovery or workplace case-management account identity management. Encryption does not authorize a recipient, preserve every backup or remove plaintext working copies automatically.
Grievance case file questions
Should encryption become the grievance case file system?
No. Keep the authoritative source case file in the approved grievance case file system and archive the primary case file deliberately.
Does resetting a password recover an existing archive?
Do not assume so. Document the product-specific recovery boundary and test a separate recovery copy.
