Protect the grievance case file without hiding ownership
File encryption and authorized recipient role are different controls. Before handing off a case file, verify the named recipient, business purpose, approved version and delivery route. Use workplace case-management and provider permissions where collaboration is needed and a separate channel for secrets where an offline archive is justified.
An employee representative preserves the source, creates a minimized review copy and records each authorized handoff before granting access to the case file.
Run the control sequence
- 01
Confirm recipient identity, role, purpose and approval.
- 02
Select the smallest case file needed for the decision.
- 03
Choose an approved provider permission or controlled archive route.
- 04
Send access instructions through a separate verified channel.
- 05
Capture receipt, review window, replacement request and withdrawal owner.
Preserve the decision record
Record package ID, case file, sender, recipient, authority, provider permission or archive route, instruction channel, receipt, review deadline, replacement and withdrawal status.
Stop when
- The recipient is an unverified shared address.
- A broad archive is sent when one case file is sufficient.
- The password travels in the same message or package.
The record should show the approved case file, tested environment, responsible people and known limitations without storing passwords or unnecessary personal data, unredacted identifiers or superseded drafts.
Separate the surrounding controls
It does not establish the identity or authority of an employee, representative or adviser, provide employment-law advice, or determine procedural validity, workplace-policy format, employment-law deadlines, evidential weight, formal notice, required disclosure or redaction, or case outcome; it does not replace workplace case-management and provider permissions, guaranteed backup, password recovery or workplace case-management account identity management. Encryption does not authorize a recipient, preserve every backup or remove plaintext working copies automatically.
Grievance case file questions
Should encryption become the grievance case file system?
No. Keep the authoritative source case file in the approved grievance case file system and archive the primary case file deliberately.
Does resetting a password recover an existing archive?
Do not assume so. Document the product-specific recovery boundary and test a separate recovery copy.
